Organizing tasks
Once tasks pile up, the views and a few well-placed fields keep the list workable. This page covers the day-to-day of running your task list.
Work the views
Section titled “Work the views”The left rail switches between five views of the same tasks:
- My Day is the “what do I do right now” list: every active task dated today, plus anything overdue. Clear it and you’re done for the day.
- Upcoming is the forward look — every active task with a due date, soonest first. Use it to spot next week’s crunch before it arrives.
- Inbox holds every active task, dated or not. It’s the default view and the place to sweep for undated strays that deserve a due date.
- Assigned to me narrows to active tasks where you’re an assignee.
- Completed is the archive of everything marked done or canceled.
Status
Section titled “Status”Each task carries one status, set from the Status dropdown in the detail panel: Inbox, To do, In progress, Done, or Canceled. New captures start as To do; Done and Canceled tasks move to the Completed view and drop out of the active views.
Priorities
Section titled “Priorities”Set Priority in the detail panel: P1 · High, P2 · Medium, P3 · Low, or No priority. Priority is visible without opening anything — the checkbox ring in the list is red for P1, and tinted progressively cooler down the scale.
Due dates
Section titled “Due dates”Pick a date in the Due field of the detail panel (or set one at capture time — see Capturing tasks). The list shows each due date as a compact chip:
- Today with the time, highlighted — it’s also what pulls the task into My Day.
- Tomorrow, or a short date for anything further out.
- Overdue, in red, once the date has passed. Overdue tasks stay in My Day until you deal with them.
Clear the date by emptying the field — the task drops back to the undated pool in Inbox.
Labels
Section titled “Labels”In the detail panel, type comma-separated Labels — finance, q3, errand — to tag related
work across views. Labels are freeform: type a new one and it exists.
Complete, reopen, delete
Section titled “Complete, reopen, delete”- Complete: click the checkbox at the left of a task in the list. It gets a strikethrough and moves to Completed.
- Reopen: in the Completed view, click the checkbox again — the task returns to To do.
- Delete: open the task and click Delete task at the bottom of the detail panel, then confirm. Deleting is for tasks that should never have existed; for finished work, prefer completing so the record stays in Completed.
