Auto-capture from mail

Every message delivered to or sent from your workspace runs through CRM capture:

  1. Knobs looks at the counterparties on the message — the sender and outside recipients. Addresses at your own workspace domains are never treated as counterparties.
  2. A known email updates the existing contact’s last activity. A new email creates a contact, parsing the display name into first/last name.
  3. The address’s domain finds or creates the company — unless it’s a free-mail provider (gmail.com, outlook.com, and thousands more), in which case the contact is created without a company.
  4. The message is logged as an email activity on the contact’s (and company’s) timeline, with direction and a short snippet. Re-deliveries never duplicate the entry.

In Settings → CRM (workspace admins):

  • Auto-capture toggle — turn capture off entirely for the workspace.
  • Treat as free-mail — add domains (e.g. a partner’s shared webmail) that should never create a company.
  • Exceptions — domains from the built-in free-mail list you do want companies for.

Captured records carry the auto badge and capture source, so you can always tell what the system created versus what a teammate entered.
